Enneo uses previous customer correspondence to generate better response suggestions for new customer service requests.

Since customer correspondences typically contain personal data as per §4 GDPR, with which special processing obligations are associated, these are removed using an anonymization process. This process consists of 5 steps.

1. Procedure of the anonymization process

At the outset, an advanced language model (LLM), a form of sophisticated artificial intelligence, is used. This model is specifically trained to efficiently analyze large amounts of text. It reliably detects patterns that indicate personal information in customer emails, such as names or contact details. With continuous updates and improvements, it is ensured that the LLM always meets the latest data protection standards and works effectively.

2. Detection of personal data

The LLM thoroughly scrutinizes each email and identifies personal data such as names, addresses, phone numbers, and email addresses. It utilizes advanced algorithms to recognize structures and patterns typical of such sensitive information. This step is crucial to ensure that no personal data remain unprotected.

3. Replacement with null values

After identification, the personal data are replaced with neutral values such as “xxxx xxxx”. This process is performed twice to ensure maximum security. This ensures that the original data can no longer be reconstructed, guaranteeing a high level of data protection.

4. User interface and manual checks

A specially designed user interface allows secure access to the anonymized data. This interface is intuitively designed and allows employees to manage and monitor the data efficiently. Regular spot checks are performed. These checks serve quality assurance and ensure that the anonymization process is effective and complete. Corrections are made as necessary to maintain the highest data protection standards.
